Who am I? I'm Anna Cribley, Director and Freelance Translator for ALC Translations Ltd. and I'm committed to maintaining the trust and confidence of my clients, website visitors and colleagues. This Privacy Notice defines what, when and why I collect personal data, as well as how it is used and how it is kept secure. What information is collected? The types of personal data collected include:
Contact names, addresses, email addresses, other contact information received in emails.
Individual's names and information in documents or files I am given to translate, edit or proofread. In some cases, this may include their profession, company name, location, studies, hobbies and any other relevant information.
Standard email correspondence with clients and colleagues.
In some cases, I receive documents of a sensitive nature, e.g. CVs, various types of contracts.
I'm also given business cards which contain personal data, such as the elements mentioned above.
How is this personal data used?
Contact names and email addresses are stored in my email software for correspondence purposes. All email correspondence, with attached files, is stored in separate folders within my email software.
Invoice addresses and any other contact information are stored in separate files on my computer in order to create invoices for the clients I work with.
Generally, telephone numbers are only stored in original email correspondence. Telephone numbers are only stored on my phone to receive phonecalls from/to contact clients that I work with on a regular basis.
Individual names or information contained in documents or files that I receive for translation, editing or proofreading are treated as strictly confidential. They are not stored or saved other than for the purpose of translation, editing or proofreading within the files provided.
Original documents along with their translations, reference materials etc. are stored in individual project folders on my computer.
Some translations may also be saved in the form of a Translation Memory (TM). A TM stores a translation in segments and acts as a reference for previous translations, ensuring consistent terminology and accuracy. If TMs are provided by the client, these are treated as strictly confidential and are not shared with any third parties. I am the sole user of these TMs and do not use them for any other purpose than to carry out translation, editing or proofreading for the said client. If TMs are created by myself, only text regarding the subject matter is stored. The TM itself remains completely neutral and anonymous, e.g. no individual names, business names, addresses or any other confidential information is included.
All project folders are stored on my computer and are regularly backed up onto my external hard drive, purely as an extra copy. This hard drive is not connected to the internet.
Why is this personal data collected?
The personal data mentioned above, is collected, stored and used for the purposes of contacting clients, issuing invoices, providing translation, editing and proofreading services or to comply with legal requirements, as requested.
What I don’t do with your personal data
The personal data mentioned above is not used for marketing purposes. I do not send out any newsletters or any form of advertising.
I do not pass on any of your information without your prior permission. If a client or colleague would like to get in touch with someone working in your field – I will contact you first to ask if you are happy with your details to be shared with this person.
